client status hub

Four overlapping client status documents — one of them 137 weekly tabs deep — collapsed into one model: initiative, weekly update, milestone.

team one internal tool on the agency's internal aws/eks platform. client initiatives and status content withheld.

the short version

The account team kept status in four overlapping places: a hot sheet, a weekly status doc, an account-by-media status workbook that had grown to 137 weekly tabs since 2022, and campaign trackers. Each was someone's source of truth and nobody's whole picture. The hub, built over two days in September 2026, replaces them with one model — initiative × weekly update × milestone — plus an AI rewrite review that proposes cleaner updates for a person to accept, a sync to the program planner so dates don't fork, a notes queue, and an onboarding flow built for people who never asked for a new tool.

Full case study in progress — artifacts pending clearance or writing time. The insight below is already earned.

Four status documents aren't four views of the truth; they're four places for it to drift. Pick the grain — an initiative, updated weekly, against milestones — and every report becomes a query instead of a copy.
